FAQs on Hosting a Screening

Why do I have to purchase a Screening Licence Pack?

All Backtrack Screening Packs include a Public Screening Licence and tools to help you with arranging your event. All films require a licence to be screened publicly. The licence fee goes back to the costs of producing and releasing the film. By purchasing a screening package, you’re ensuring that films like Backtrack Boys can continue to be made.

How much does a screening cost?

The cost varies, when you register please tell us your organisation type, the number of guests and how many times you wish to screen the film.Cost Guide:

  • Subsidised Screening Licence and Pack for one public licence for screening (individuals or not
  • for-profit orgs): $350
  • Corporate Screening Pack for companies that want their employees to see the film (please
  • contact us for a quote)
  • Multi-licence for multiple screenings (please contact us for a quote)
  • Educational package (coming soon)

When should I purchase my Screening Pack?

We ask that all Screening Packs are purchased at least 14 days before your scheduled screening, to ensure enough time for postage and handling. We can send materials to you via courier or express post, but additional fees will apply.

Can I fundraise?

Yes! If your event is a fundraiser for a worthwhile cause, audiences will be happy to pay for a ticket. You can also recoup costs or fundraise through other ways – by selling food and drinks or holding a raffle. You can also ask for donations to your organisation on the night, or follow up with attendees who’ve provided their emails on the sign-in sheet. You can sell tickets to the event via your venue, make them available online in advance. It is easy to make an event through a website called Eventbrite or Trybooking to sell tickets online. This way, your viewers are committing to come on the night, and you can get a sense for how many people to expect. Also, people often value events that they’re paying for more than freebies.

What should I charge the audience?

If you would like to charge for a ticket costs vary depending on the total costs of your screening (the price of the pack, venue hire, refreshments etc.) and how many people you think will attend. It is up to you and your organisation to decided how much you need to charge per ticket to cover these costs.

What if I’ve never held a screening before?

That’s okay! We’ll help you through the process and ensure you receive all the materials to make your screening a success. The Screening Licence Pack includes digital assets which will assist you organising your event. You will need to pick a date, venue and promote the screening in your local community. We will help with online promotion of your event by sharing it on our website and social media accounts.

My screening is by invitation only, is this a problem?

That’s no problem – we understand each community is different, and how you run a screening is up to you. We would still like to support your screening via our digital channels so please send us all the details!

Should I have a discussion or Q&A after the screening?

Yes! We recommend organising a Q&A or discussion after the film, and allowing time for questions. To run the Q&A, we have provided an in-depth screening and discussion guide to help you.We suggest having a member of your organisation, a prominent community member that is comfortable with the issues presented in the film to facilitate discussion and share their personal experiences. It could be a youth worker, councillor, lawyer that works in juvenile justice or a teacher or community organisation.Having a discussion after the film is really important to deepen your audiences’ engagement with the issues presented. This could be a Q&A with a panel, or you could have a guest speaker present before opening for questions from the audience. However you’d like to organise this, the discussion guide in the pack provides a great resource.

Can I have someone from the production attend my screening and sit on our post-film discussion panel?

This depends on the location of your screening and availability of our production team. There is a cost associated. Please let us know when and where and we can provide you with a quote.

If I am not hosting a discussion or Q&A how can sharing the film help my community?

  • Changing perceptions: Shift society’s view about young people in trouble. The film gives extraordinary access into the worlds of these kids who have fallen between the cracks.
  • Inspire people to tell their workplaces and communities about BackTrack. The film shows how this unconventional youth program is turning kids’ lives around.
  • Raise awareness of BackTrack – people can help by volunteering or donating to the BackTrack Youth Works. BackTrack produces unique results time after time and produces community solutions to community problems – one young person at a time.

Can we create customised promotional materials?

In our Screening Packs, we supply digital assets that can be personalised for your screening. These include posters and flyers to promote your event.

What are my responsibilities as a host?

We also ask that you provide us with the details of your screening (time, date, location, cost, public/invite only), so we can help promote your screening to the wider community. We also ask that every group that hosts a screening sends us some basic data, to help us track the reach and impact of the documentary. This includes:

  • How many people attended each event?
  • How many surveys were collected?
  • Funds raised?
  • Do you have any feedback or photography?
  • Did you receive any media coverage?
  • Summary of what was covered in discussion, quality of discussions
  • Were there any positive outcomes of your screening

Finally, we ask that you circulate our Impact Measurement Program Survey to your audience, either at the screening or via email. If you hand them out at the screening, they need to be collected and sent on to our production team.

What is the Impact Measurement Program Survey?

The survey is a way for us to gather information about the reach and impact of the documentary. The information it provides allows us to strengthen our campaign and make it even more effective going forward. The survey can be viewed here

Is the survey compulsory?

The survey is an invaluable tool in helping us measure and evaluate the impact of Backtrack Boys. It gives us insight into the shifting attitudes towards the issues young people face and how our film and campaign is helping to change attitudes. It would be extremely valuable if the participants of the screening would participate in our survey, to help us better tackle this issue going forward.

How can I capture survey responses?

There are 2 different ways to collect survey responses:

  • Print the survey and hand it out at your screening. At the end of the screening, allow 5 minutes for the audience to complete their responses. They can then be collected as the audience is leaving. We recommended displaying a slide on the screen after the film has been shown. This prompts the audience to participate, or take note of the link if they wish to complete it online.
  • Collect the email addresses of attendees, and send a follow up email with links to the survey, for them to complete in their own time. https://www.surveymonkey.com/r/BacktrackBoys
